Purpose

This article explains the process Service and Support teams must follow to request, prepare, and submit content for a Parts Explorer page.

The Parts Explorer provides users with:

  • Orderable part information

  • Product-specific part groupings

  • Service manual references

  • Factory communications

  • Knowledge article links

  • Part images

  • Ordering guidance and notes

The Knowledge Team uses the submitted spreadsheet and media content to generate the final Parts Explorer HTML page.

This process applies to:

  • Service Teams

  • Technical Support Teams

  • Product Support Organizations

  • Knowledge Contributors

  • Product Business Teams

Process Overview

The Parts Explorer workflow consists of the following phases:

  1. Submit a project request

  2. Receive the template and instructions

  3. Collect and upload part images

  4. Complete the Parts Explorer spreadsheet

  5. Submit content to the Knowledge Team

  6. Review and approve the generated page

  7. Maintain future updates

Phase 1 – Submit a Project Request

To initiate a Parts Explorer project, the requesting team must submit a request to the Knowledge Team.

Required Actions

  • Complete the official project request form

  • Identify the product line and scope

  • Indicate whether a field feedback/image collection form is required

Phase 2 – Receive the Instruction Set and Template

Once the request is approved, the Knowledge Team will provide:

  • The Parts Explorer instruction set

  • The standardized spreadsheet template

  • Guidance for image repository setup

  • Optional field image collection support if requested

Phase 3 – Collect and Upload Part Images

Part images are required to support the Parts Explorer experience.

Image Requirements

Images should:

  • Clearly identify the part

  • Be high quality and readable

  • Use a consistent naming convention

Recommended Image Naming Convention

It is recommended that image filenames contain:

  • Part Number

  • Part Description

Using a consistent naming structure simplifies image matching and spreadsheet population.

Upload Images to the Knowledge Base

Images must be uploaded to the appropriate media repository location within the Knowledge Base.

Recommended Process

  1. Locate the appropriate media repository for the product line

  2. Create or update the repository article

  3. Upload all part images

Upload Tips

  • Images may be uploaded individually

  • Entire folders can be drag-and-dropped into the repository

  • Bulk uploads significantly reduce preparation time

Obtaining Image URLs

After image upload is complete, image URLs must be captured and entered into the spreadsheet.

Option 1 – Extract URLs from Page HTML

  1. Open the media repository article

  2. Copy the page HTML/source

  3. Use GPT or another parsing method to extract image URLs

Option 2 – Copy Individual Image URLs

  1. Open the media repository article

  2. Right-click the image

  3. Select:

    • Copy image address

    • or Copy image URL

  4. Paste the URL into the spreadsheet

Phase 4 – Complete the Parts Explorer Spreadsheet

The spreadsheet template provided by the Knowledge Team is the primary source used to generate the Parts Explorer page.

Spreadsheet Column Definitions

Column A – Product Line

Defines the applicable product line.

Examples

  • Ion Chromatography

  • Gas Chromatography

  • Mass Spectrometry

Column B – Product Model

Defines the specific product model associated with the part.

Column C – Category

Defines the part grouping/category.

Example Categories

  • System

  • Option

  • Module

  • Pump

  • Injector

  • Detector

  • Accessory

Categories may be customized by the business.

Column D – Part Number

The official orderable part number.

Column E – Part Description

A user-friendly description commonly used by Service and Support personnel.

Column F – SAP Part Description

The official SAP part description.

This assists users in validating correct part selection.

Column G – Service Manual URL

A link to the service manual PDF.

Preferred location:

  • Knowledge Base-hosted PDF

Alternative:

  • Approved external PDF location

Opening a PDF to a Specific Page

Service manual URLs can be configured to open directly to a specific page.

URL Format

Append the following to the end of the PDF URL:

?origin=mt-web#page=41

Where:

  • 41 is the target PDF page number

Important Note

Some PDFs contain:

  • Cover pages

  • Tables of contents

  • Preface sections

Because of this, the displayed document page number may not match the actual PDF page count.

Always verify the correct page number before creating links.

Column H – Image URL

The direct URL to the uploaded image stored in the Knowledge Base media repository.

Each row should contain the image URL associated with the corresponding part number.

Hint

GPT is an effective tool for extracting image URLs from repository page HTML. If image filenames contain the part number and part description, GPT can help:

  • Match image URLs to the correct part number in Column D

  • Populate Column H with the appropriate image URL

Column I – Ordering Permissions

Defines who may order the part.

Common Values

  • Service Only

  • Customer and Service

Column J – Active Status

Defines whether the part is currently active.

Example Values

  • Yes

  • No

Column K – Calibration Required

Indicates whether calibration is required after part replacement.

Example Values

  • Yes

  • No

Column L – Currently Unused

Reserved for future use.

Columns M, N, and O – Factory Communication URLs

Used for Factory Communication references.

Usage

  • Column M = Factory Communication #1

  • Column N = Factory Communication #2

  • Column O = Factory Communication #3

Each column should contain a valid URL.

Columns P and Q – Knowledge Article URLs

Used for related Knowledge Base articles.

Usage

  • Column P = Knowledge Article #1

  • Column Q = Knowledge Article #2

Column R – Notes

Used for additional information relevant to ordering or service.

Example Notes

  • Requires two units

  • Order with gasket kit

  • Calibration required after installation

  • Compatible only with revision B systems

Phase 5 – Submit Content to the Knowledge Team

After completing the spreadsheet and image uploads, provide the following:

Required Deliverables

  • Completed spreadsheet template

  • Confirmation of image upload completion

  • Desired Parts Explorer location

  • Any required forms or workflow requests

Phase 6 – Knowledge Team Build and Review

The Knowledge Team will:

  • Generate the Parts Explorer HTML page

  • Build associated forms if required

  • Upload the completed page

  • Provide review access

The requesting team must:

  • Review the generated page

  • Validate images and links

  • Confirm part information accuracy

  • Approve publication

  • Extend access as needed

Ongoing Maintenance

After publication, the requesting team is responsible for:

  • Maintaining part accuracy

  • Providing updated spreadsheet revisions

  • Supplying new images

  • Requesting additions or removals

The Knowledge Team can rapidly regenerate updated Parts Explorer pages from revised spreadsheet submissions.
